ACTIVATIONS: Children’s Day - roaming princesses, Mini Makers Market, photos with Santa.
Vendors must participate both weekends, and are expected to be onsite, set up, and ready to sell between these times, no exceptions.
LOAD IN
The loading dock is off of MacDonell Street in-between Wyndham and Wellington Street. Look for the large Old Quebec Street sign at the driveway. See right for a photo of the loading area, West Parkade and Rear Entrance to Old Quebec Street Shoppes. We have carts and dollies in our loading dock area for your use. Follow the signs along the hallway until you reach the pedestrian entrance of Old Quebec Street. Please bring your items in boxes or containers that can be stored under your assigned table. Return at latest by 2pm to set-up your table.
INTERNET ACCESS
Unfortunately there is no public WiFi in Old Quebec Street Shoppes.
MARKETING AND PUBLICITY
Spirit of the Season is committed to extensively advertise, publicize, and promote the event to ensure high attendance. Local media and news outlets will be made aware of the event through press releases.
Vendor listings and information will be included in social media campaigns and vendors are encouraged to share campaign posts on their own platforms using the images to the right (right click and select the ‘Save as’ option) and the hashtag #spiritoftheseason and tagging @downtownguelph.
SECURITY & STORAGE
Professional security staff are onsite during Market operating hours. After the show on Fridays and Saturdays, you have the option to box up your goods and put them in a locked storage room. Vendors will be required to sign a liability waiver should they choose to store their goods onsite. On Sunday December 8th, we recommend you pack up all of your goods and take them with you.
Although we have security personnel and cameras onsite, we are not responsible for your merchandise or personal belongings.
BREAK ROOM
This is a space where you can charge your phone, use the washroom, put your feet up, and grab a drink or light snack. Ask any of our volunteers (wearing red and white striped aprons) to relieve you if you need a break. Bring a fillable water bottle and a mug with you.
PARKING
If possible, we recommend that you and your goods are dropped off at the loading dock. If you do have to park, the West Parkade is the most convenient parking garage located beside Old Quebec Street (indicated in the photo above). ACCESSIBILITY
The indoor marketplace is partially accessible. Vendors will be provided with chairs or can bring their own, tables are a standard height, and there is room behind the vendor tables for wheelchair access. Accessible washrooms are also available. Evenings offer low light within Old Quebec Street Shoppes and there will be amplified sound.
EXPECTATIONS OF VENDORS
Cooperation from all vendors is required to achieve an optimal overall appearance and atmosphere. Every vendor is responsible for designing their own hut/table in an attractive manner. Vendors are encouraged to add their personal touch to best reflect their merchandise.
All shelving, additional lighting, and anything else to best display merchandise is the responsibility of the vendor. No shelving, temporary structures or display stands are permitted outside the footprint of the table.
All vendors are expected to display a sign bearing their business name. No advertising banners are permitted.
EVENT MANAGEMENT SUPPORT
Our event management team will oversee the planning, delivery, management, and marketing of this signature event. Vendors will receive marketing assets and the team are here to provide guidance by email before the event, and in-person during the event.
TABLES AND CHALETS
The indoor marketplace will provide tables for up to 36 vendors. Tables 72” by 30”. String lights, two chairs and one full red skirt will be provided. Hydro is only available to food vendors at the indoor marketplace. Table toppers (chalets, pictured ) have been allocated to 10 vendors to whom this has been communicated.
